Use this order. It is boring on purpose, because boring is what parses.

  • Contact block at the very top as plain text, never inside a header, footer, or image.
  • A three-line professional summary that names your target title and your core skills.
  • Experience in reverse chronological order, each entry formatted as Job Title, then Company, then City and State, then Month Year to Month Year.
  • Three to six achievement bullets per recent role, fewer for older ones.
  • A skills section listing tools, systems, certifications, and licenses as a simple comma separated or single-column list.
  • Education and training last, unless you are a recent graduate with no work history.

Formatting rules that decide whether you get read

Every item on this list is a common resume feature that regularly breaks parsing. Removing them costs you nothing and protects your record.

  • One column only. Two-column layouts and sidebars scramble reading order in most parsers.
  • No tables or text boxes. Content inside them frequently vanishes from the extracted record.
  • No headshots, logos, icons, or charts. They add nothing machine-readable and can break layout detection.
  • Standard fonts at 10 to 12 point, and standard section headings such as Experience, Skills, and Education rather than clever labels.
  • Dates in a consistent Month Year format. Mixed date styles are a leading cause of misread employment history.
  • Save as .docx or a text-based PDF. Never submit a scanned or image-based PDF, because there is no text to extract.
  • Keep the filename simple, such as FirstName-LastName-Resume.docx.

The keyword method, without keyword stuffing

Keyword matching is where tailoring earns its keep. The goal is not to cram terms in. It is to make sure the true things about you are written in the same vocabulary the posting uses.

Work through the posting once and pull out the terms that repeat or sit in the requirements section. Aim for 8 to 12 must-have terms. Then check each one against your real experience.

  • Match the exact phrasing where it is true. If the posting says "revenue cycle management" and you wrote "billing," use their phrase.
  • Include both the spelled-out term and the acronym once each, for example "applicant tracking system (ATS)" or "registered nurse (RN)."
  • Mirror the job title. If your internal title was "Client Success Lead" and the market title is "Account Manager," put the market title in your summary.
  • Place keywords inside real achievement bullets, not in a hidden block or a white-text list. Hidden text is detectable and gets applications discarded.
  • Never claim a skill you do not have. A keyword that gets you screened in and then exposed in the first call costs you more than the miss would have.

Writing bullets that survive both readers

Once the parser is satisfied, a human spends a few seconds scanning. Bullets that carry a number and an outcome win that scan.

The reliable pattern is action verb, then what you did, then the measurable result. Cut every phrase like "responsible for" and "duties included."

  • Weak: Responsible for managing inventory. Strong: Managed inventory across 3 locations, cutting stockouts by roughly 30%.

  • If you do not have exact numbers, a defensible estimate is fine. Scale is what communicates level.
